Once you begin, you realize considerable event planning often feels like a visit to another planet! The wedding realm seems to have its own language. DOC, MOC, venue, vendors, linens, invitation suite, whaaaaat??!?! It gives new meaning to the phrase “party/wedding planning,” huh?

All of the sudden, you find yourself the proud owner of a shiny new three-ring binder. It’s filled with fresh dividers labeled with words like:

“florals, budget, decor, venues, + attire.” 

Oh wait, you didn’t get a binder? What about a new folder in your google docs? If not, that’s reason number 5,394 why we would love to have Jess Walker, in your corner! She is our MaeWood Collective Event Coordinator.

We understand that not all vendors or services, no matter the bells and whistles, will make the cut. Occasionally, choices or swaps have to be made, and because we LOVE seeing the magic on your face as you are enjoying your event (instead of managing it) we want to make sure you know why having personal event, or month-of-coordination, services is something you never want to skip, even if your venue already has one!

One of the many questions people ask us with regard to the venue and month-of coordination: who works for whom?

In short, you’re the boss. You set the stage by planning the details of your event. Also, you handle the conceptual and logistical planning of your event. You hire individual vendors and make all the choices on how each executes their expertise. 

The venue coordinator:

• Works, primarily, for the venue
• Prepares the ceremony and/or reception sites to host the event
• Manages venue staff
• Oversees the physical space of the venue – this may include multiple ceremony and reception sites
• Ensures the property is maintained, open, and functional for the event

Your MWC Coordinator:

• Works directly for you and executes the event you planned on your behalf
• Collaborates with all of the vendors (venue coordinator included) in order to ensure your event runs as planned according to your wishes and as contracts specify
• Knows each specific detail of your vision and the venue coordinator will know the ins and outs of the venue.
• Addresses errors with any of your non-venue related vendor selections, if a vendor gets lost, items go missing, if a non-venue related contract isn’t fulfilled,
• Resolves and problem-solves on fronts all fronts throughout the day

#2 – we deep dive into your dreams

As month-of-coordinator, our team’s goal is to get to know our couples and their vision for their event so well that we become the very essence of them when their special day arrives. We run the event as if they are running the event. 

Being pampered, relaxing, having a good time, and enjoying the company of those who came to celebrate with you is the only thing you should be doing on the day of your event!

Your venue coordinator will be on-site to ensure the facilities are in working order (unlocked, have running water, electricity, clean, etc) and the venue’s contractual commitments are fulfilled. They set up tents, tables, and chairs, as well as work with your MWC Coordinator to ensure your party has all the contracted amenities and events run on time.

Your MWC Coordinator will spend the months and weeks leading up to your event getting to know you so well that we know the logistics, goals, and vision for the event as if we’d planned it ourselves.

We think of each experience we coordinate as the next big love story being released from the box office. We spend time getting to know the cast of characters (the wedding party members), and learning the vibe and vision of your dream day. Then, we work on memorizing the details of each scene, down to the last candle lit, and the crew members that will come together (your entire vendor team) to create a gorgeous masterpiece.

You write the love story and we direct it on your behalf so that you are free to live in those once-in-a-lifetime moments.

At The MWC we commit to one event per weekend (yours!) so that YOU and your loved ones get our entire focus, love, and attention. Though we are expert multitaskers, we want to ensure that you get our very best selves on your special day!

The MaeWood Collective aims to serve as a sounding board for your ideas, a safe space to vent about your frustrations, and a metaphorical salve to soothe your wedding day worries.

Your MWC Coordinator is available via text and email at times that fit your personal schedule. This allows for quick communication and access to plan changes in real-time. If you have a thought in the middle of the night about table linens, we want you to feel free to send us a message to get the info out of your brain and into ours!

Not only do we have open communication with our couples throughout the wedding experience, we are also highly skilled at communicating with each other as a Collective. We have our own language at The MWC. One that consists of telepathic messages, hilarious facial expressions, and a series of dance-like movements we’ve mastered together over the years.

While it may take other vendors half of your wedding day to jive, The MWC is already in sync! Trust us, this makes your wedding day that much more of a breeze. We move together as a team to capture, document, facilitate, and enhance your wedding day without intruding on or interfering with the integrity of your love story.

#5 – preparedness commitment

Your MWC Month-of-Coordinator arrives on site with a veritable “Mary Poppins Bag” of supplies that will help the event go off without a hitch! Need to patch a jacket? Wrinkly tablecloth? Lighter out of fluid? Breath mints? Is one of the groomsmen’s boutonnieres missing? Not a problem.

From the big to small, we come ready to tackle (almost) anything the day throws at us!
